ToonieTracker ("we", "our") is a Canadian expense and mileage tracking service for small businesses. This policy explains what information we collect, how we use it, and your rights. Questions? Contact us at hello@toonietracker.ca.

1. Information we collect

Account information: When you sign up, we collect your name, email address, and country.

Business profile: Business name, province or territory, reporting year, GST/HST number (optional), and your accountant's name, email, and phone number (optional).

Receipts and expenses: Receipt images or PDFs you upload, plus the details you enter or verify — merchant, date, amounts, tax, category, currency, notes, and any warnings the app flags.

Mileage: Trip dates, distances, purposes, locations, odometer readings, and trip edit history.

Usage information: Basic technical data such as login activity and pages visited, used to operate and improve the service.

2. How we use your information

  • To provide the service: storing your receipts, calculating taxes and mileage, and generating reports.
  • To send your accountant handoff only when you ask us to — by email, text message, or both.
  • To operate your account: sign-in, password recovery, and plan administration.
  • To improve ToonieTracker and fix problems.

We do not sell your personal information. We do not use your financial records for advertising.

3. Accountant handoff

When you tap send, we email or text your accountant a secure, expiring download link to your tax package. Email is delivered through Resend; text messages through Twilio. Your accountant receives only the package you chose to send, and the link expires after 7 days.

4. Service providers

We use trusted providers to operate ToonieTracker, including cloud hosting, database services, email delivery (Resend), and SMS delivery (Twilio). These providers process your information only to perform their services for us and are bound by confidentiality obligations.

5. Data retention and deletion

Your data is kept while your account is active. If you delete your account, your receipts, trips, and business profile are deleted. Backup copies may persist for a limited time before being purged.

6. Security

We protect your information with industry-standard measures: encrypted connections, authenticated access, and database-level access controls that isolate each business's data. No method of transmission over the internet is completely secure, but we work to protect your records.

7. Your rights (PIPEDA)

Under Canada's Personal Information Protection and Electronic Documents Act, you may request access to your personal information, ask for corrections, and challenge how we handle it. Contact hello@toonietracker.ca and we will respond within 30 days.

8. Children

ToonieTracker is a business tool and is not directed at children under 18.

9. Changes to this policy

If we make material changes, we will notify you in the app or by email before they take effect.
