ToonieTracker — Canadian Expense & Mileage Tracker

Terms of Service — ToonieTracker

Last updated: October 11, 2026

These terms govern your use of ToonieTracker, the Canadian expense and mileage tracker. By creating an account, you agree to them. Contact: hello@toonietracker.ca.

1. The service

ToonieTracker helps Canadian small businesses capture receipts, track mileage, calculate sales-tax breakdowns, and send tax packages to their accountant. We may update or improve the service over time.

2. Eligibility and accounts

  • You must be at least 18 years old and resident in Canada to use ToonieTracker.
  • You are responsible for keeping your sign-in credentials confidential and for all activity under your account.
  • One account per business.

3. Plans and pricing

  • Legacy: a limited group of beta testers, free for life.
  • Founder: the first 50 paying users, at locked-for-life founder pricing.
  • Standard: regular pricing as shown on our site.

We will give reasonable notice before any price change, and locked-for-life pricing stays as promised.

4. Important tax disclaimer

ToonieTracker applies CRA-published mileage rates and provincial sales-tax rules to help organize your records. This is not professional tax advice. Tax rules change and individual situations differ. You remain responsible for your tax filings — always have your accountant review your records before filing.

5. Accountant handoff

When you send a tax package, you authorize us to deliver it to the email address or phone number you provide, via a secure link that expires after 7 days. You are responsible for confirming your accountant's contact details are correct.

6. Acceptable use

You agree not to: upload unlawful or infringing content; attempt to access other users' data; probe or disrupt the service; or resell the service without permission.

7. Your content

You keep full ownership of your receipts, business data, and records. You grant us only the license needed to store, process, and display them back to you — and to deliver them to your accountant when you ask.

8. Intellectual property

The ToonieTracker name, logo, and app design are our property. Nothing in these terms transfers any ownership to you.

9. Limitation of liability

To the maximum extent permitted by law, ToonieTracker is provided "as is". We are not liable for indirect or consequential damages, including any tax penalties or filing errors — see the tax disclaimer in section 4. Our total liability is limited to the fees you paid in the 12 months before the claim (or $100 if you paid nothing).

10. Termination

You may cancel anytime by deleting your account. We may suspend or terminate accounts that violate these terms. On termination, your data is deleted as described in our Privacy Policy.

11. Governing law

These terms are governed by the laws of Ontario and the federal laws of Canada. Disputes will be resolved in Ontario.

12. Changes

If we change these terms materially, we will notify you in the app or by email before the changes take effect. Continued use after the changes means you accept them.
